Registration - Procedures
(Updated February 2008)
When applying to register a Quarter Horse the following documents must be provided. Detailed below you will find the procedures to be followed when registering your Quarter Horse:

Yellow Breeding Certificate:
Follow this procedure for registering a Quarter Horse when you are in possession of a yellow (mare owner's duplicate copy) Breeding Certificate:
PLEASE NOTE: Services that have taken place since 31 December 2006 will need to be lodged on a new Stallion Return books or they will not be accepted. Please contact AQHA for a new stallion return book as soon as possible. Books are $15 each or you can obtain one for free if you return your old Breeding Certificate book with more than 50% of the pages unused. Please remember to remove any completed certificates from the book prior to returning it to AQHA.

PLEASE NOTE:
The butt section is to be retained by the mare owner for their records and the main section should be forwarded with the Application for Registration.
Step 1: Download the Application for Registration form here.
Step 2: Complete and sign the form.
Please ensure that all details including sire and dam name, registration numbers,
breeding certificate number and service type are filled in.
Step 3 : Check the current fee here.
Step 4: Send to AQHA
Please ensure that:
a)
the fully completed and signed yellow Breeding Certificate,
b) the fully completed and signed Application for Registration form
c) the appropriate payment is attached.
Once again, please note, the mare owner should retain the butt section of the yellow Breeding Certificate for their records.
Under the rules and regulations the Stallion owner is required to lodge a pink (original) copy of the Breeding Certificate along with the appropriate fee for all eligible services to their Stallion.
If the Stallion owner has failed to lodge, with the Association, the pink (stallion owner copy) of the Breeding Certificate, the Application for Registration will not be able to proceed.
You should contact the Stallion owner and ensure that they lodge with payment the required Breeding Certificate/s as part of their obligations. If the stallion owner still fails to lodge the pink copy of the breeding certificate, please contact AQHA and once we receive your Application for Registration, we can contact the stallion owner on your behalf and suspend their stallions registration if need be.
Please note: The progeny of a stallion that has not undergone the IBF Process (which requires veterinary inspection and the lodgment of an initial breeding fee) are not eligible for any form of registration or recording with the Association.
Once again, make sure that all sections of the application form are completed in full. If the horse has no white markings, you will still need to provide hair whorls on the head or neck or mark down brands for the application to proceed.
The markings as you draw them on the application/s are scanned and reproduced on the Certificate of Registration. You will have a nicer looking certificate if you use a red texta to mark the white markings and a black ball point pen to mark whorls and/or brands. Please bear in mind the neatness of your application will be reproduced on the Certificate of Registration so do not write notes in the markings panel as these will appear on your Certificate of Registration. Also try to avoid folding the markings area of the Application as fold marks do show up in the scanning process.
Make sure that the correct fee and breeding certificate accompanies the application. Over 60% of applications received by AQHA cannot be processed at the first attempt due to lack of information and/or incorrect payment.
Such applications are delayed while additional information/payment is sought from the applicant and may attract additional fees for re-processing.
Application For Registration (new process):
This procedure outlines the process for registering a Quarter Horse when you are lodging the new Application for Registration which you should have received from the stallion owner.
Stallion owners now file breeding returns which have multiple services listed on each return instead of individual breeding certificates. Once lodged, the new returns cause an Application for Registration to be generated for each service. This Application for Registration will go back to the owner of the stallion who will sign the Stallion Owner's Declaration and forward it to the mare owner once all commercial obligations have been met, for example service, vet and agistment fees have been met. Without the stallion owners declaration being signed, the Application for Registration will be useless.
Step 1: You should receive the Stallion Return from the Stallion Owner once you
have met your commercial obligations with them. When you receive the Application
for Registration, make sure the Stallion owner has completed and signed the Stallion
Owner's Declaration section. You can then complete the Application for Registration once your foal is born.

Step 2: Make sure the service type, sire, dam and service date are correct on your Application for Registration. Carefully read our guide on "How to complete an Application For Registration".
Step 3: Complete the Application for Registration form accordingly.
Step 4: Click here to check the current fee.
Step 5: Return the completed Application For Registration together with the appropriate payment to AQHA.
How to Complete an Application for Registration

When filling out the Application for Registration please take care that all sections have been correctly completed as per the following guide:
1. YOUR NAME |
Please insert your correct current name and address details along with your membership number as the owner of the foal, and sign the application prior to forwarding it to AQHA along with the appropriate fee |
2. FOAL NAME CHOICES |
Foal names must be 25 characters or less, including spaces, without punctuation or numerals and each name must be unique. Names cannot sound like those of an already registered horse or be offensive or in poor taste in any way. The Association will determine at its sole discretion where a name is in poor taste or inappropriate.
Some members add to the uniqueness of their horse’s name by using a Registered Prefix, which is owned and used exclusively by them. If another member wishes to use that prefix they will need the prefix owner’s written consent to do so. |
3. COLOUR |
Official AQHA colours include:
• Bay
• Bay/Brown
• Bay Roan
• Black

The AQHA urges members to register their horses within the due dates to take advantage of the lower registration fees. Should we register a foal as a certain colour and it sheds its foal coat to reveal a change in colour, AQHA will amend the Certificate of Registration free of charge. See your Official Handbook for a complete list of acceptable colours. Should the colour change be dramatic the Association may request colour photos of the foal to verify the colour. |
4. SEX |
You must register your foal as the sex it is at the time of application. If you are planning to geld your foal but haven’t done so prior to applying for registration, the foal must be registered as a stallion. Once gelded, the Certificate of Registration can be returned to AQHA to be amended and re-issued free of charge.
PLEASE NOTE: If you register your horse as a gelding and then do not geld him a penalty fee of $3000.00 (including GST) will be applied in order for the horse to be recorded as a stallion instead of a gelding.

5. MARKINGS |
It will speed up the processing of your application if the marking are clearly and neatly drawn. Remember, what you draw is exactly what will appear on the Certificate of Registration.
Do not draw arrows, write on the diagram or colour roaning. The AQHA recommends that the white markings be drawn and coloured in with a fine point red texta and the brands and/or hair whorls be drawn with a black pen.

6. DATE OF BIRTH |
Of course the date of birth needs to correspond with the dates of service! |
7. BREEDER’S NAME |
The breeder of a foal is always the recorded owner of the mare (according to AQHA records) at the time the service took place. |
8. PAYMENT |
Your horse’s age and the date the application is received by AQHA will determine the registration fee. Payment can be made by cheque, money order or credit card. |
